Trotter Field Day Planning Meeting Minutes – Wednesday, May 19, 2010

We had a very productive meeting on Wednesday and a lot of the details are starting to fall into place for the Field Day on Friday, June 18th.

Our initial contact with City of Boston neighborhood liaison Keith Williams has been very positive.  Keith is a Trotter alum, and is going to do his best to get us a number of fun an interesting additions to the day including things like a fire truck, ice cream truck with free ice cream, police K9 unit, face painters, dance troops, music etc.  This will all be add ons, in addition to the core games and food we will be providing.

There is also a strong possibility that the New England Aquarium will be providing us with a tide pool tank for part of the day – where kids can touch sea animals like starfish and crabs.  This is very exciting and thank you to Julianna for this.

Games and Stations will include:

-Face paint/wood paint/stamps Katy/Joe/other volunteers

-Beanbag toss Susan

-Octopus garden tag Josh Glenn

-3-legged race Greg Allen

-Dance party Chuck in the afternoon, need an AM person

-Field handball Chris

-Water/Sand scoop Mary in the afternoon, need an AM person

-Parachute Jake Graham-Felsen

-Yoga Stevie/Sonia

-Bubbles Brenda Richardson

-Tide pool from Aquarium during lunch Paul Fenton from Aquarium

Maybe stations

-Fire truck waiting to hear back from city

-Police dogs waiting to hear back from city

-Water balloon toss – need several volunteers

-Dance troupe waiting to hear back from city

-Kickball – need several volunteers

-Healthy eating station Tolle will talk to them

-Singing station – run by Music teacher (possible)

We have the games pretty much finalized, we have a list of food and drinks, we have music, we have painting and arts and crafts, now we need your help.  Here is a list of things we need assistance with:

  • Full day and half day volunteers who are willing to help us out on June 18th.
  • Does anyone have any contacts that could get us a moon walk (bouncy house) for the day?
  • Does anyone know a balloon animal artist (Michael from JP or Rami Salami are two well known Boston area children’s balloon artists)
  • Someone to approach a local market (Stop and Shop / Whole Foods) to get some fruit and juice donated – would need to be enough for 500 people roughly.
  • Someone to contact a t-shirt company and get them to donate 500 shirts for the day.  We have a design of the old Trotter logo – and need a company that is either willing to donate the shirts and printing – or people from the alumni to donate some money to help make it possible to give every child a free Trotter shirt to take with them as a remembrance of the day.  If you can offer your assistance with this, please let me or Julianna know ASAP (pauldailey@comcast.net or  jbrodyfi@gmail.com)
  • If you cannot be with us on June 18th, but would still like to make a small cash donation to help pay for some of the other misc items we need – please contact me or Juliana as well – and we will facilitate this.

We are going to have a mandatory volunteer meeting on Wednesday, June 9th from 6:30 to 8:30 at the Trotter to finalize all games, donations, and to make sure you all know where you will be needed on June 18th and what is expected of you.  It is vitally important that you make time to join us on Wednesday, June 9th – so we can provide an organized, fun, safe day of fun for the children of the Trotter.  Please mark your calendar and make every effort to join us for this planning session.

Thanks again for all your assistance and enthusiasm.  This is going to be a great event that will be a lot of fun for Students, Teachers, Alumni and Parents alike.

Minutes from April 29th Meeting

Just a short note to forward along the minutes from last week’s Trotter meeting – and our next steps for Field Day on June 18th.

I understand that everyone is very busy in the spring, with school ending, house and family obligations ramping up with the nicer weather, and it is not always possible to attend every meeting.  But I feel in some ways that much of the positive momentum that we gained at the Doyles meet up – was lost when only 5 people attended the meeting last week at Trotter.

As soon as we know how many people are actually on board for this event, we have a good core planning group and would be happy to take the lead and assign people to events and let you know exactly what is necessary to pull this off.  But I have to say that all the good will and good intensions in the world are not going to make this event a success.  We really need a firm commitment to attend and assist in making this a reality.

Those that cannot physically assist us on June 18th, could step up and volunteer to take on a task below in terms of outreach.  We need someone to contact the Boston Fire Department and see if we can get a fire truck and some gear to displace for the day.  We need someone to contact the Boston Globe and Chronicle to see if they would be interested in covering the event.  We need food donations, someone to donate t-shirts so we can give every Trotter child a brand new shirt to wear proudly all summer long.  We need someone to help with getting a face painter, a dance troop, a karate studio to come do a demonstration, any and all ideas you may have that can be helpful would be greatly appreciated.

We also need volunteers who will give their time to spend the day of June 18th with us at Trotter – helping to organize events and keep the kids happy and safe.  This entails attending a planning meeting on May 19th as well as another final meeting about a week before the event, with parents, teachers and administrators – to get the exact plan for your assignment for the day and what we need from you on June 18th.

I really appreciate all of the support and well wishes – and as I said, we do have a good plan already in place for how the day could provide a fun, educational and safe end to the school year for so many children that are in desperate need of a careful day of fun.  But now is the time when we need you to step up and step forward to help Trotter celebrate the 40th anniversary in style.  This event cannot proceed without your support and assistance.

I look forward to you feedback and suggestions and thank you again to Alma Wright, Mairead Nolan, Chris Green, and Julianna Brody-Fialkin for taking the lead here and really helping to take this one step closer to reality.

Friends of Trotter Anniversary / Alumni Planning Event – 3.25.10

2010 marks the 40th Anniversary of the William Monroe Trotter School on Humboldt Ave.  The Friends of Trotter, a group made up of past and present students, parents, teachers and administrators, are gathering on Thursday, March 25 at Doyle’s on Washington St to discuss plans for 2 events – a field day and an evening fund raiser.

If you or someone you know attended or worked at the Trotter and you would like to lend some ideas and help towards the planning of these anniversary events – we invite you to join us at Doyle’s on Thursday, March 25, 2010.

Minutes from Trotter Anniversary / Reunion Meeting – 3.3.10

At tonight’s meeting, we agreed to work on two events related to the 40th Anniversary of the WM Trotter School.  A field day, to be held some afternoon in late May (date TBD) – where we will have food, drinks, games, music, dancing in the Trotter playground with all current students and their families, as well as alumni welcome.

We also spoke about a nighttime, reunion type of event to be held some evening in the fall of 2010.  We will work with our contacts at Boston City Hall, the School Committee, and through suggestions of alumni – find a spot for this event.  It will most likely be at a function facility or jazz club in the area, with all proceeds from the night going to help build a new computer lab at the Trotter.

As a means to work out the details and get input from more people, we are holding a planning get together on Thursday, March 25 from 7 to 10 p.m. at Doyle’s in Jamaica Plain.  Doyle’s is located at 3484 Washington Street Jamaica Plain– and is donating their back room for the night.  Please put the date on your schedule and bring your ideas for both the field day and fall event with you on 3/25.
